Dealer Sales LLC (“we,” “us,” or “our”) operates dealersales.co and the DealerDrive platform (dealerdrive.us), providing digital marketing services for US auto dealerships. This Privacy Policy explains what information we collect, how we use it, and your rights.

1. Information We Collect

Name, email address, phone number, dealership name, and business details
Information about your dealership’s location and services
Vehicle inventory data when you use our advertising or marketing services
Ad account access credentials (OAuth tokens) for Meta and Google Ads — stored encrypted using AES-256-GCM
Customer lead data generated through advertising campaigns we manage on your behalf
Data automatically collected through cookies or analytics tools (IP address, device type, pages visited)

2. How We Use Your Information

To provide and operate our digital marketing services
To create and manage Facebook, Instagram, Google Vehicle Ads (Performance Max), and TikTok campaigns on your behalf via their official APIs
To sync your vehicle inventory to Facebook Catalog, Google Merchant Center, and marketplace platforms
To deliver customer leads to your CRM via ADF/XML
To monitor and aggregate review data from Google, Facebook, and Yelp
To send transactional emails, lead notifications, and performance reports
To improve our services through aggregate analytics
To comply with legal obligations and prevent fraud

3. Google API Services — Data Usage

Dealer Sales LLC uses Google API Services to provide advertising management features on behalf of our dealer customers. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Google Ads API

When a dealer connects their Google Ads account via OAuth, we access the Google Ads API (adwords scope) to:

Create and manage Performance Max campaigns and Vehicle Listing Ads on the dealer’s behalf
Create and manage campaign budgets and bidding strategies
Upload vehicle inventory as asset groups and listings
Create conversion actions to track lead form submissions and phone calls
Retrieve campaign performance metrics (impressions, clicks, cost, conversions) for reporting
Manage dealer sub-accounts within our Manager Account (MCC) structure

Google Ads data is used exclusively to provide the DealerDrive service to the connected dealer. We do not share or sell Google Ads data to third parties for advertising or commercial purposes.

Google Analytics Data API

When a dealer connects their Google Analytics 4 property (analytics.readonly scope), we retrieve website traffic, session, conversion, and audience metrics to display within their DealerDrive dashboard only. This data is not shared with other dealers or third parties.

Google Business Profile API

We access Google Business Profile data to help dealers manage their listing, publish posts, and respond to reviews through our platform. This data is not shared with any third party.

OAuth token security: All Google OAuth tokens are encrypted at rest using AES-256-GCM before database storage and transmitted exclusively over TLS. Dealers may revoke our access at any time through their Google Account security settings or through DealerDrive Settings → Integrations.

4. Third-Party Sharing

We integrate with the following third-party services to provide our features:

Meta (Facebook/Instagram) — Catalog sync, ad campaigns, lead ads, review monitoring
Google — Google Ads API (Performance Max / Vehicle Listing Ads), Analytics Data API, Business Profile API
SendGrid — Transactional email delivery
Stripe — Subscription billing (we do not store card numbers)
Automotive CRM Providers — Lead delivery via ADF/XML to VinSolutions, DealerSocket, CDK Global, Reynolds & Reynolds, Elead, and other ADF-compatible CRMs
Azure (Microsoft) — Cloud infrastructure and encrypted file storage

We do not sell your dealership data or lead data to third parties for marketing purposes. We may disclose information to law enforcement or regulators when required by law.

5. Data Security

We use industry-standard security measures including TLS encryption in transit, AES-256-GCM encryption at rest for OAuth tokens and API keys, role-based access controls, and bcrypt password hashing. If you discover a security vulnerability, please report it to [email protected].

6. Data Retention

Customer leads: 90 days after receipt, then purged unless exported to your CRM
Vehicle inventory: While listed in your active feed; removed within 24 hours of removal
Ad campaign data: 24 months to support historical reporting
Account data: 30 days after account termination, then permanently deleted
Activity logs: 90 days for security and audit purposes

7. Children’s Privacy

Our services are intended for auto dealership businesses and their employees. We do NOT knowingly collect personal information from individuals under 18 years of age.

8. California Privacy Rights (CCPA)

If you are a California resident, you have the right to: request access to your personal information; request deletion; opt out of the sale of personal data (we do not sell personal data); and not be discriminated against for exercising these rights. To exercise these rights, email [email protected] with subject line “CCPA Request.” We will respond within 45 days.

9. Cookies & Tracking

We use cookies to maintain authenticated sessions, remember preferences, and collect aggregate usage analytics to improve the service. We do not use advertising or cross-site tracking cookies.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you via email at least 14 days before material changes take effect. The “Last updated” date at the top reflects the most recent revision.
